Job Title – Executive Assistant
Work Cycle – Monday- Friday
Work Hours – 8am – 5pm
Work Location – Apapa, Lagos
Salary – 300k – 350k

JOB OBJECTIVE:
The Executive Assistant to the Group Executive Director provides high-level administrative, strategic, and operational support to ensure the efficient functioning of the Executive Office. The role requires exceptional organizational skills, discretion, business acumen, and the ability to manage complex schedules, coordinate executive communications, and support decision-making processes.

MAIN RESPONSIBILITIES:
1. Executive Support & Calendar Management
• Manage and maintain the Group Executive Director’s calendar, including scheduling meetings, appointments, and travel itineraries.
• Coordinate internal and external meetings, ensuring proper documentation, agenda preparation, and follow-up on action points.
• Act as a gatekeeper, prioritizing access to the Executive Director.
2. Communication & Correspondence Management
• Draft, review, and manage emails, reports, memos, and presentations on behalf of the Executive
Director.
• Serve as the primary point of contact between the Executive Director and internal/external stakeholders.
• Handle confidential information with a high level of discretion and professionalism.
3. Meeting Coordination & Reporting
• Prepare meeting materials, presentations, and briefing notes.
• Attend key meetings and take accurate minutes.
• Track and follow up on decisions and deliverables across departments.
4. Travel & Logistics Management
• Arrange local and international travel, including flights, accommodation, visas, and transportation.
• Prepare detailed travel itineraries and briefing documents.
5. Stakeholder & Relationship Management
• Liaise with senior management, board members, government agencies, and external partners.
• Coordinate executive engagements, events, and official functions.
6. Office & Administrative Management
• Maintain organized records and filing systems (physical and digital).
• Monitor office supplies and administrative needs within the Executive Office.
• Support budgeting and expense tracking for the Executive Director’s office.
7. Project & Strategic Support
• Assist in tracking strategic initiatives and key business projects.
• Conduct research and prepare reports to support executive decision-making.
• Support the implementation of executive directives across business units.
KEY PERFORMANCE INDICATORS:
• Calendar efficiency and scheduling accuracy (% of conflicts resolved proactively)
• Timeliness and quality of reports and correspondence
• Meeting effectiveness (agenda readiness, minutes accuracy, action tracking)
• Executive satisfaction rating
• Turnaround time for tasks and follow-ups
• Confidentiality compliance (zero breaches)
